Adopting AI in your business

Let’s talk about AI adoption and where to start with your employees.

AI remains a key focus for our team. Some of us attended a session on AI in marketing earlier in March. Charlotte is also participating in an April session designed to equip business owners and managers with practical tools to streamline their business processes.

Artificial intelligence is shaking up all sorts of industries, including ours, and really changing the way businesses run. If you’re a leader or business owner who hasn’t looked into using this tech yet, now’s the perfect time to start. We’re here to help you get started.

Start by having an internal AI policy

This is crucial for reducing the risks of data and confidential information breaches. The policy should provide clear guidelines on using AI tools (e.g., closed vs open AI) to ensure all employees understand data privacy and the importance of security.

An effective AI policy protects sensitive information and promotes transparency and trust. It should include protocols for secure data handling, addressing biases, and compliance with legal standards.

It’s essential to update the policy regularly to keep up with AI advancements and emerging threats – we recommend every six months. Establishing and communicating these guidelines helps companies protect their assets and enables employees to use AI responsibly and confidently.

Choosing the right tools

There’s so much potential with AI. Choosing the right tools to suit your business needs can transform your business, driving productivity and innovation. By selecting the right AI tools, you can create efficient business processes and ensure clarity in all your communications.

Here are a couple we’ve adopted at Belle that we’d recommend.

Grammarly

Grammarly is an invaluable tool for enhancing your team's writing skills and ensuring clear, professional communication. By providing real-time grammar, spelling, and style suggestions, Grammarly helps employees create error-free content, which is crucial for maintaining a credible business image. Additionally, its advanced features, such as tone detection and plagiarism checking, ensure that your communications are accurate and appropriately tailored to your audience.

CoPilot

CoPilot, on the other hand, helps us streamline our business processes. We prefer it over ChatGPT because, while we can’t use it for basic desktop research, it integrates seamlessly with 365 and operates within a closed environment. 

By adopting CoPilot, we are working to significantly reduce the time spent on routine tasks, enabling the team to focus on more strategic work for our clients.

Inform and educate your team

Providing comprehensive training sessions, workshops, and demonstrations guarantees that your team is well-informed about the AI tools you’ve adopted. Educating your employees on the proper use of these tools prevents potential misuse and enhances their effectiveness. 

Keeping transparency at the core, address any AI-related concerns, such as privacy issues or bias, and develop a plan to manage these challenges effectively. 

Another tip is to identify and empower early adopters within your team who are enthusiastic about AI to assist and encourage their colleagues in mastering these innovative tools. We usually call on Cushla in our office to help with this sort of thing.

Finally, it’s important to be transparent with your clients or customers about how your company is using AI, especially if you’re a service provider. 

Clearly explaining how AI is integrated into your services or products and highlighting its benefits builds trust and understanding. For us, AI aids our expertise and ideation but won't replace the human touch anytime soon. Overuse of emojis in posts, clichés like ‘pillar of strength’ or ‘beacon of hope’, and American English can only be tolerated for so long.
